Project Management: DataCore Up Close Why Plan? by Steve Canfield, Project Manager
In last month's DataCore Up Close article we presented an overview of DataCore's Project Delivery Methodology. Starting with this installment, we'll analyze each portion of the methodology to better understand how it enhances quality and ensures your projects are completed on-time and within budget. Assume, for a moment, that you need to drive to a far-away city you've never visited for a business meeting. In preparation for your trip, you'll agree on the reason for the meeting, and determine participants, length of stay and expected costs. Using a map, you'll locate where you are, where you need to go, and how to get there. You'll possibly consider several alternatives, and compare each carefully. Coincidentally, the implementation of an information technology (IT) project begins with the same starting activity: planning. Planning an IT project provides a high-level view of the existing business and information system, an understanding of the business needs and objectives, and the project scope. Just like a traveler, it's important to recognize where you are, where you want to go, and how you're going to get there. The first phase in DataCore's Project Delivery Methodology is called the Plan Phase. In the Plan Phase, DataCore assists you in preparing for a successful implementation project. The specific goals to be achieved, how they will be achieved, and who will benefit from this project are all defined in this phase. During this phase, it's important to define the high-level business objectives. Often encapsulated as a Vision Statement, documenting the ultimate goals of the project provides clear direction to team members throughout the project, and sets the course for all future project-related activities. In conjunction with the project's vision, it's also important to define the project's scope. The project's scope complements the vision by providing structure, or boundaries. Scope includes consideration of items like budget, available resources, and critical milestones. Once the vision and scope are determined, the planning process can proceed full speed ahead. Key activities in this phase include building the project team, assessing the current situation, defining risks to success, and preparing the project plan and schedule. Key goals for this phase include providing clear direction to the project team, setting expectations for all stakeholders, communicating goals and objectives, and serving as a reference point for future requested changes. DataCore believes the time and energy spent planning and defining your project are critical and more than compensate for themselves by translating into more efficient, effective activities in future phases. By taking the time to plan and define in the beginning of the project, the project has a greater chance of meeting your requirements for time, budget, and quality.
